How to send a message
To send a message via:
- Fax
- Text Messaging
- Voice Messaging
Just follow the step-by-step process. To begin, select the Send a Message tab from the main navigation or use the Send a Message button on the iRgent Task Panel.
Step 1: Send a Message Options
Select “New message” and whether the message is normal or urgent. After
sending your first message, you may opt to resend or modify an existing message
to resend. The “normal” and “urgent” message options indicate which message
delivery types will be used to reach your recipients.
Step 2: Select your Recipients
If you have uploaded your contacts using the upload tool, your contact
groups and individual contacts will be displayed for you to build your
recipient list from. If you have not uploaded any contacts, you can begin
building your address book by using the New Group or New Individual buttons.
Use the Add Group or Add Individuals button to build your recipient list.
Step 3: Type your Message
The next step will allow you to type in the message to be sent to the
recipient list you just created. Enter your message just like you would
normally create an email message. From this entry, the PGi iRgent system will
automatically generate messages for each device type (Email, SMS, Voice). The
system also intelligently detects which delivery types are necessary to reach
everyone in your recipient list and shows how many messages will be sent to
each delivery type.
Step 4: Approve/Edit Messages for Each Delivery Type
To be sure that your message was correctly translated by the system for
each delivery format, the system provides the opportunity for you to review
each delivery type message that will be sent to your recipients and also
allows you to take this opportunity to tailor your message for each delivery
option (i.e. Email allows attachments and SMS has a limited number of
characters you may send).
Step 5: Final Review and Schedule Delivery
The final step summarizes your delivery types to be used, your recipient
list and when you desire the message to be sent. The delivery types can be
reviewed again if necessary. Once you have reviewed the summary, select Send to
begin your message broadcast.
Step 6: Reports
You will now be brought back to the iRgent Task Panel where your last sent
message status will appear. You may get further report details by using the
links in this area or by selecting the “View History” tab from the main
navigation.
How to view account information
You can visit the PGi iRgent task panel to view all of your account information. Access all PGi iRgent system functions and reports using the navigation tabs at the top of the page.
How to view the details of the last message sent
The PGi iRgent Task Panel gives you a quick report status about the last message you sent. It shows date/time sent, message title, number of recipients you sent it to and which delivery method types were used.
How to find out if the message was delivered
Go to the View by Message screen located in the View History tab. The failed column will tell you if any of your message deliveries were unsuccessful. Delivery failures refer to the instances where a message has failed to reach your intended recipient through one or more of the channels used to send your message. This tracking will show you which methods succeeded or failed and whether you need to contact the recipient in another way.
How to add contacts
You can add contacts to your address book by going to the Manage Address Book tab and clicking on the ‘new’ button.
How to upload contacts
PGi iRgent provides an automated contact upload and synchronization tool to allow users to upload and maintain the currency of their Outlook address book and the address book in their account. To download and install this tool, use the “Upload Contacts” button on the Welcome page or from the Manage Address book tab. This will download the application and install it on your system. The tool will then walk you through the steps necessary to automatically upload and keep your contacts current between both Outlook and your PGi iRgent account.
